Booking the survey on the first call
The biggest drop-off in most sales processes is not rejection. It is a call that ends politely with no date in the diary.
For sales managers whose teams convert conversations into surveys
Look at where leads die in almost any installer's CRM and you find the same thing. Not many are marked 'not interested'. A great many are marked 'sending info' and then nothing happens.
Why it happens
Sending information feels helpful and avoids an awkward moment. It also transfers responsibility for the next step to the homeowner, who has a job, a family and no particular reason to chase you. The call ended pleasantly and the pipeline got worse.
The next step belongs to whoever is being paid to take it
Offer two slots, not a question
'When would suit you?' invites a homeowner to think about their whole week and then say they will check with their partner. Two specific options is a smaller question with a much higher hit rate.
“I've got Thursday afternoon or Saturday morning free in your area. Which is easier?”
If neither works, offer two more. You are not being pushy; you are doing the scheduling work rather than delegating it to someone who did not ask for it.
Bring the other decision-maker in early
The most common reason a booked survey falls over is that the person who was not on the call had not agreed to it. Ask on the first call whether anyone else is involved, and book a time when both can be there.
This costs you nothing and removes an entire category of wasted visits. It also tends to shorten the sale, because you are not relaying answers between two people through a third.
Handling 'just send me a price'
Sometimes this is a genuine request and sometimes it is a polite exit. Either way, a number without a survey is a number you will have to revise, and revising a price upwards after a visit costs more trust than declining to guess.
- Give an honest range, and say plainly what would move it up or down
- Explain what the survey establishes that a range cannot
- Offer the two slots again
Record the outcome honestly
'Sending info' should not be a valid CRM outcome on its own. Require either a booked date or a specific next contact time entered while the homeowner is still on the phone.

- A date in the diary, or a dated next action
- Outcome recorded before the next call starts
Teams that enforce that last list usually find their appointment rate moves several points inside a month, with no change to lead source or spend. It is the cheapest improvement available to most buyers.
