The first five minutes: what to say on a fresh exclusive lead

An exclusive lead removes the race against other callers. It does not remove the need to earn the survey. Here is a call structure that does.

With a shared lead, the first call is a race. With an exclusive one it is a conversation, and a surprising number of teams handle it worse as a result — the urgency that made them good on shared leads disappears, and so does the discipline.

The structure below takes about five minutes and is built for someone who has the enquiry detail in front of them.

1 Open by naming the enquiry

The homeowner filled in a form, possibly days ago in their memory even if it was ninety seconds ago in yours. Remind them what this is about before you ask them anything.

“Hello, is that Mrs Whitfield? It's Dan from Westgate Solar. You asked for a quote on solar and a battery for the house on Fairview Road — is now an alright moment for two minutes?”

Three things happen in that sentence. You identify yourself, you prove the enquiry is real by repeating a detail only they gave, and you ask permission rather than launching in.

2 Confirm before you qualify

Read back what you were sent. It is faster than asking, it demonstrates the enquiry was handled properly, and it surfaces errors while you can still do something about them.

  • Property type and whether they own it
  • The job as they described it
  • The timeframe they gave
  • Anything vertical-specific: bill size, roof type, opening counts, boiler age

3 Qualify on decision-making, not on budget

Asking a homeowner their budget early rarely produces a useful answer and often produces a defensive one. Ask instead about how the decision gets made.

  • Is anyone else involved in deciding?
  • Have you had anyone else out to look at it?
  • What made you look into this now?

That last question is the most useful one on the call. The answer tells you whether you are talking to someone with a broken boiler in November or someone idly pricing a project for next year, and it should change everything you do next.

4 Book the survey before you hang up

The single biggest drop-off is not people saying no. It is calls that end with 'I'll send you some information and give you a ring next week'. Offer two specific slots and let them choose.

“I've got Thursday afternoon or Saturday morning free in your area — which suits better?”

If they genuinely cannot commit, agree the next contact then and there, and put it in the diary while they are on the phone.

5 What good looks like

  • The homeowner knew who you were and why you were calling within ten seconds
  • Every fact you were sent was confirmed out loud
  • You know why they enquired now
  • You know who else decides
  • There is a date in the diary, or a specific next contact time

None of this is clever. It is just consistent, and consistency is what separates teams that convert exclusive leads well from teams that assumed exclusivity would do the work for them.
